Withdrawals

Pursuant to U.S. Department of Education (34 CFR 668.22), notice of intent to withdraw at the University of Northern Colorado occurs when a student notifies the Office of the Registrar of their intent to withdraw (via telephone, in person, or through written notification).

The date a student notifies the Office of the Registrar of their intent to withdraw will be used as the official withdrawal date from UNC, unless otherwise noted below. Please note that if a student sends a letter to the Office of the Registrar to provide notification of intent to withdraw, the official withdrawal date is the date that the letter is received by the UNC Registrar. When withdrawing from a course(s), the student will be charged 100% tuition.

Voluntary Withdrawal

Individual Course Withdrawal

A student is a member of each course for which they register. Students are responsible for confirming their schedule online through the Student Tab in Ursa. Students may withdraw from individual courses in person at the Office of the Registrar or online through the Student Tab in Ursa. Withdrawal deadlines are published on the Office of the Registrar website and may be accessed through the Student Tab in Ursa by clicking on the “Your Course Drop/Withdrawal Deadlines” link. A student will be charged 100% tuition for each course from which they have withdrawn.

Complete Schedule Withdrawal

Students who wish to withdraw completely from all courses in the current semester, whether planning to return to UNC or not, must contact the Office of the Registrar at 970-351-4UNC (4862) to begin this process.

  • Full Semester Courses

The first date to withdraw from individual courses is the first calendar day immediately after the drop deadline for full semester courses. The last date to withdraw from individual courses or request a complete schedule withdrawal from the Office of the Registrar is the Friday prior to Final Exam week. Respective full semester course withdrawal deadlines are published on the Office of the Registrar website.

  • Withdraw Deadlines

The first date to withdraw from individual courses is the first calendar day immediately after the drop deadline Special Term/Short Course. Summer/Special Term/Short Course withdrawal deadlines are published on the Short Term Course List (unco.edu).

Current withdrawal deadline dates are published on the Office of the Registrar website.

UNC shall use a student’s last documented date of academic engagement in an academically related activity in one or more courses as the official withdrawal date.

In some instances, a university official (e.g., Dean of Students personnel, Counselor) may provide notification to the Office of the Registrar of a student's intent to withdraw when circumstances prevent the student from following the standard withdrawal process.

Requests for information about withdrawal, such as the potential consequences of withdrawal, does not constitute an official notification of intent to withdraw from the University of Northern Colorado.

Withdrawals must be submitted by the complete schedule withdrawal deadline of the full semester. Withdrawals after the deadline will not be permitted. See the Special/Short-Semester Course calendar for courses that do not meet for the full semester.

Transcript Notation for Withdrawn Course(s)

A “W” appears on the transcript for each course from which a student withdraws.

Withdrawal from Graduate Program

A student who has been admitted to a Graduate program and decides not to attend or who attends and decides to leave the program must:

  • Notify the Graduate School in writing in order to have their file closed.
  • Notify the Office of the Registrar to initiate the withdrawal process and drop any registration for subsequent semesters.

Involuntary Withdrawal

Pursuant to University Regulations (3-2-305), UNC’s Behavioral Intervention Team (BIT) may also determine that it is necessary for a student to be Involuntarily Withdrawn from UNC for the protection of the Student and/or the UNC community.

Disciplinary Withdrawal

Students may be withdrawn administratively for disciplinary reasons, subject to the Student Code of Conduct (BEAR Code), pursuant to specific Outcomes outlined in (UR 3-2-203 (8)). In cases where a student is withdrawn for disciplinary reasons (i.e., University Suspension, University Expulsion), UNC will use the date that the institution terminates the student’s enrollment as the official withdrawal date. A notation will be added to a student’s academic record noting either expulsion or suspension and the date of termination of enrollment.

Financial Aid Considerations for Withdrawals

A student with financial aid should contact the Office of Financial Aid at 970-351-4UNC (4862) prior to withdrawing to determine the effect of the withdrawal on financial aid. The website of the Office of Financial Aid may be found at www.unco.edu/financial-aid/applying-for-aid/current-student.aspx.

The Office of Financial Aid will use the official withdrawal date documented by the Office of the Registrar for the purpose of calculating the return of Title IV funds.

Students will receive a grade of "W" on the transcript for each course that has not been completed. The grade of "W" does not impact the student’s GPA. Grades for courses that have been completed during the current semester will remain on the transcript.

Housing and Residential Education and Dining Services Considerations for Withdrawals

Housing & Dining contracts are for the full academic year (both fall and spring semesters). You must remain in the University’s housing program if enrolled in 6 or more credits.

Housing and Dining Services will charge a daily rate (per diem) to students who withdraw from the University through the Drop Deadline (10th day of classes). After that date, students are charged in full for their room and board contract. NOTE: The Housing deposit is non-refundable after the cancellation deadlines listed in the terms & conditions for Housing & Residential Education. The Housing deposit will be forfeited for all students that withdraw or are enrolled in fewer than 6 credits.
